Separate items that travel from items that stay

Before packing, identify your display panels, printed material, reusable cases and other possessions. Keep hired equipment, venue property and items sold or given away out of the outgoing inventory. State which destination receives each remaining package.

Check whether components have been added, removed or repacked during the event. A list prepared for the inbound journey may no longer describe the outgoing shipment. Give the actual quantities and identify electronics, batteries, liquids or fragile parts requiring review.

Distinguish the event closing time from parcel readiness

Allow for dismantling, sorting and packing before giving a ready time. The public closing hour does not establish when sealed, labeled packages can be released. Confirm who will remain responsible if the exhibitor or organizer leaves before the proposed handover.

Ask the venue or appointed handler about its release procedure, access window and storage limit. Explain any required reference during the assessment. Do not assume packing labor, venue handling, local transfers or storage are included in the transport quote; responsibilities and any separate arrangements need agreement.

Quote the final cases and cartons

Provide the packed weight and external length, width and height of every package in lbs/inch or kg/cm. Measure cases with their handles, wheels and other protrusions where relevant to the overall package. Describe any pallet, crate or unusually large item rather than treating it as an ordinary carton.

Include the complete overseas address, country and postal code, and identify whether the goods return to an office or continue to another event.
