Separate the purchasing office from the dispatch location
The company paying for a shipment may use a different address from the supplier, workshop or warehouse releasing it. Obtain the dispatch address from the person responsible for the goods. Give the business name, suite or unit, ZIP code and the contact who can identify the outgoing packages.
Use the actual mailing city for each location. A Dallas-Fort Worth regional description does not identify a single origin. The City of Dallas mapping resources provide address and location searches; EPS checks transport availability separately.
One supplier or several collections?
Organize the request by physical origin before grouping packages by destination. Two suppliers shipping to the same recipient still require separate collection details if the goods remain at two addresses.
- Origin: name the supplier and its exact collection address.
- Release: provide the purchase order or release reference needed to identify the goods.
- Packages: list Box 1, Box 2 and any further packages with their individual contents, weights and dimensions.
- Destination: identify the recipient country, address and postal code for that shipment.
If you want goods from different suppliers combined, describe that request before making arrangements. This guide does not promise a consolidation warehouse, storage or repacking service. A single destination does not make separate supplier collections one booking.
Ask the supplier for dispatch-ready measurements
Product dimensions and package dimensions are different. Ask for the weight and outside length, width and height after packing, using lb/in or kg/cm. State whether the shipment consists of cartons, a crate or a pallet, and disclose unusual handling needs before requesting a service.
Do not convert an item advertised as freight into a parcel description just to obtain a price. Send the actual packaging details and let the team assess which arrangement, if any, can be offered.
Coordinate release and access
For a supplier site, explain whether the parcel is at reception, a dispatch desk or another agreed entrance. Share opening hours and any requirement to contact the site before arrival. Confirm that the supplier has authorized the release and that the packages will be ready.
If stock moves from Dallas to a different site, or the supplier splits an order into additional cartons, update the request. Ask for confirmation of the service, charges, collection arrangement and delivery estimate against the final details.
Can I use this guide for a residential parcel?
